Digitization of the Historical Archive and Implementation of a Documentary Manager in Justice

The Ministry of Justice trusted AdeA to digitize its historical documentary collection prior to 1900 and develop a document management system that would support all the intermediate and judicial archives of the judicial system of the Autonomous Community. The objective was to preserve documentary heritage, improve operational efficiency and ensure traceability in the management of both physical and digital judicial records.
The challenge

Modernize without losing file value

The historical archive contained thousands of documents before 1900 in different formats, many of them at risk of deterioration. In addition, the management of the archive of judicial files required a solution capable of integrating paper documentation with digital flows from the existing procedural system. All of this should be achieved by ensuring traceability, accessibility and regulatory compliance in a complex and distributed judicial environment.

What did we do

Comprehensive system for present and past

AdeA digitized, indexed and recorded the entire historical documentary collection prior to 1900, applying digital preservation and advanced capture techniques. At the same time, we designed and implemented a document manager that supports all the courts and intermediate archives of the judicial system. The solution allows you to manage legal files by integrating the documents that arrive on paper with those generated and processed digitally by the procedural manager. The system supports the consultation, processing, lending and transfer of documents in a safe and efficient manner.

The result

Digital judicial management with protected archive

The project has made it possible to safeguard the historical archive of the Autonomous Community through its complete digitization, facilitating its conservation and consultation. In addition, the new document manager provides efficient support to all judicial processes, integrating physical and digital documents into a traceable, interoperable and accessible environment. This has meant a significant improvement in efficiency, document security and the quality of the service offered by the Council to judicial bodies.
